General

What is Invent Workflows?

Invent Workflows is a workflow automation platform for designing, launching, and tracking business processes. It combines template-based workflow design with user task execution, automated actions, and real-time progress tracking.

What browsers are supported?

Invent Workflows works best in modern browsers: Chrome, Edge, Firefox, and Safari. It is designed for desktop use.

Does the data update automatically?

Yes. The Dashboard refreshes every 5 seconds, workflow instance pages refresh every 3 seconds (for active workflows), and task lists refresh every 3 seconds. You don't need to manually reload pages to see updates.

Tasks

How do I find my tasks?

Go to My Tasks in the navigation bar. This shows all tasks assigned to you across every active workflow, with filters and sorting.

Can I save my work on a form and come back later?

Yes. Click Save Progress on any form task to save your entries without submitting. When you return to the task, your saved data will be loaded.

What's the difference between Approve and Submit?

  • Submit is for form tasks — you're submitting data you've filled in
  • Approve/Reject is for approval tasks — you're making a decision on a request

Can I reassign a task to someone else?

If you're an Instance Admin or Manager, you can reassign tasks. Regular users can only complete tasks assigned to them.

Why is my task blocked?

A task is blocked when something upstream has failed or hasn't completed yet. Check the workflow's Flow Viewer to see which action is stuck and whether it can be retried.

How do I start a new workflow?

Click Submit Request on the Dashboard, or use the Quick Access section to select a popular template. See Launch Workflow for a step-by-step guide.

Can I cancel a running workflow?

Yes, if you're an Instance Admin. Open the workflow instance and click Cancel. You'll be asked to provide a reason. Cancelled workflows cannot be restarted.

How do I track a workflow's progress?

Click the workflow instance card on the Dashboard to open its detail page. You'll see milestones, step status, progress percentage, and more. See Workflow Tracking.

Who can see my workflow?

Only people who are members of the workflow instance can see it. Members are added automatically based on the template's default permissions, and instance admins can add or remove members manually.

What happens when a workflow step fails?

The step shows a "Blocked" status. Check the Flow Viewer to see which action failed. Administrators can retry failed system actions. If a user task is stuck, check with the assignee.

Who can create workflow templates?

Admin users have full access to create and edit templates. See Roles & Permissions.

Can I reuse parts of one template in another?

Yes, in several ways:

  • Input Templates — reusable sets of input fields you can import into any template
  • Form Task Templates — reusable form configurations for user tasks
  • Step Templates — reusable step configurations with pre-built action flows
  • Export/Import — export a template as JSON and import it as a starting point for a new one

What happens if I edit a template that has running workflows?

Changes to a template only affect new workflow instances launched after the edit. Running instances continue using the template configuration that was in place when they were launched.

Can I undo changes in the Template Editor?

The Template Editor auto-saves changes. There is no undo/redo feature within a session. If you need to revert, export your template as JSON before making changes so you have a backup.

What is the AI template generation?

The AI generation feature lets you describe a workflow in natural language (e.g., "Employee onboarding with IT setup, HR paperwork, and manager introduction") and the system generates a template structure. You can then refine it in the editor.

Documents

Where do documents come from?

Documents are uploaded during Document Upload tasks within workflow steps. They're associated with the workflow instance and accessible to all instance members.

Can I delete uploaded documents?

Document deletion depends on your permissions within the workflow instance. Generally, only instance admins can manage documents.

What file types are supported?

All common file types are supported — PDFs, Word documents, Excel spreadsheets, images, and more. The My Documents page groups files by type for easy filtering.
